Position Overview

This role is an ideal opportunity for a junior candidate or a fast learner eager to build a rewarding career in wealth management. Beyond traditional administrative duties, the successful candidate will leverage modern productivity tools—including approved, secure Generative AI (GenAI) technologies—to enhance efficiency, communication, and client support in a regulated financial environment.

Key Responsibilities

Client Experience & Front-Office Operations

  • Manage incoming phone calls, greet clients and guests warmly, and maintain a polished, professional office environment.
  • Coordinate and schedule client and internal meetings, manage calendars, and oversee seamless meeting logistics.
  • Support client onboarding activities, gather necessary documentation, and ensure adherence to all applicable CIRO and firm compliance requirements.

Operational Administration & Documentation

  • Prepare professional correspondence, reports, and client-facing materials while tracking documentation accurately.
  • Maintain CRM data integrity through periodic reviews and updates, ensuring all client records remain current and fully compliant.

Marketing, Digital Support & Events

  • Assist with content preparation, posting schedules, and messaging aligned with Raymond James brand standards.
  • Support the planning and execution of client events, seminars, and community initiatives.
  • Maintain basic website content and coordinate updates with internal or external partners.

GenAI & Modern Productivity Tools

  • AI-Assisted Drafting: Utilize approved, secure GenAI tools to draft emails, summarize documents, prepare meeting notes, and generate first-pass report versions.
  • AI-Enhanced Research: Leverage secure AI tools to gather background information, compare data, or prepare briefing materials.
  • Workflow Automation: Apply AI-powered tools to streamline repetitive tasks such as document formatting, data organization, and template creation.
  • Responsible AI Use: Adhere strictly to privacy, compliance, and data-handling protocols when using technology in a regulated financial setting.

Qualifications & Required Skills

  • Education: Post-secondary education in finance, business, financial planning, or wealth management preferred.
  • Industry Experience: Previous experience in financial services or a CIRO-regulated environment is considered a strong asset.
  • Licensing: CIRO Investment Representative license (or the ability/willingness to obtain it within 6 months). U.S. licensing may be discussed depending on scope.
  • Technical Skills: Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, OneNote, Outlook) and modern browsers; willingness to learn new technologies and AI-supported workflows.
  • Core Attributes: Meticulous attention to detail, strong verbal and written communication skills, proactive self-direction, and a collaborative, team-oriented approach.
  • Language: Proficiency in English required; additional languages are an asset.
